Our client needed to address critical data integrity and data governance capabilities in order to improve its health care delivery system. The scope and complexity of this important effort required comprehensive change management best practices and tools.

As a result, managers and staff quickly became proficient in the new processes and systems needed to achieve their goals.

Project Timeline: December 2018-May 2020        (18 months)

Situation. A 1,400-employee organization needed to significantly improve its data integrity, data infrastructure, and data analytic capabilities. These improvements would enable this national leading organization to improve decision making, strategic initiative coordination with stakeholders, ultimately, improving its health care delivery system.

Pain. The organization needed to address several issues regarding data integrity and data governance. These issues included inconsistent and inaccurate data, redundant work effort, inefficient resource use, untimely responses, and unfulfilled requests. From a resource point of view, they needed a high degree of technical expertise, yet had modest analytics capacity. Therefore, its expenditures for basic analytics contractors was high.

Capabilities. To accomplish these goals, the following capabilities were needed: 

  • Increase analysts’ use of the Enterprise Data Warehouse (EDW) and Data Architecture
  • Create an intake and data products prioritization process 
  • Create a process to add new data sources and build the initial EDW infrastructure

The EDW Change Management plan needed to address staff impacts, communicate a compelling business case for change, and a smooth transition to the desired future state. 

We Provided the Client with Organizational Change Management. Mass Ingenuity partnered with this client to leverage the Prosci® 3-phase framework and tools. 

  • Preparing for change: Change management team charter, impact assessment, organizational attributes assessment, and impacted group assessment
  • Managing and monitoring change: Communication plan, sponsor roadmap, training plan, coaching plan, and resistance management plan. 
  • Reinforcing change: Compliance review, mitigation plan, and after-action review

In addition, Mass Ingenuity provided the following services: 

  • Designed and conducted Data Governance maturity assessment
  • Advised the organization on strategy and tactics to increase data governance maturity
  • Consulted with leaders and staff to build awareness, cultivate desire, and conducted training to increase competencies in Data Governance
  • Engaged existing governance committees in the data governance ecosystem

Client Results and Impact

Our client successfully designed and implemented their EDW. Managers and staff successfully and quickly learned the new system and processes. Stakeholders received more useful reports and visuals, tangibly demonstrating that change adoption and user proficiency was high. In addition, expenses for data analytics contract services were significantly reduced.
